One set of paperwork that works for every event.
The StallSync Event Passport holds all your event paperwork in one place. Upload documents, sign declarations, and track expiry dates. Share it with any organiser as a link, QR code, or branded PDF. It belongs to you and works for every event you attend.
For example, you sell handmade soap and bath bombs. You can upload your Public Liability Insurance to StallSync alongside your Product Liability Insurance. You can also add your Cosmetic Product Safety Report (CPSR) and sign a declaration showing you do not make medicinal claims about your products and another declaring they conform to CLP labelling regulations.

A proper contract with every booking.
No more handshake deals or cash-in-hand uncertainty. Every StallSync booking comes with a proper digital contract: clear terms, fair cancellation policies, and a signed record you can rely on.
Two-part structure
Your event details sit on the front page, with the standard terms behind them: cancellation, liability, insurance and what happens if someone doesn't turn up.
Three refund tiers
For events that take payment through Stripe, you see the refund policy before signing: Flexible, Balanced, or Firm. Organisers who handle payments themselves set their own refund terms outside StallSync.
Digital signatures
Legally binding, with no printers or scanning. Draw your signature once and it's saved to your account; from then on you sign contracts and passport declarations with it, from your phone or your computer. Both signatures appear on the finished contract, and you both keep a copy.
14-day dispute window
For events paid through Stripe, both parties have 14 days after the event to report an issue. StallSync provides structured resolution within 30 days. For self-managed payment events, disputes are between the organiser and the stallholder directly.
A full record of every contract
Every contract gets a unique reference number (SS-YYYY-NNNNN). Full history, always accessible.
Refund tiers and the dispute window apply to events that take payments through StallSync. Self-managed payment events carry no StallSync cancellation terms or dispute involvement.
You stop applying, and organisers come to you.
Every application form is mostly you telling another organiser who you are and what you make, and your profile already does that job. What's left are the two questions that decide whether an event is worth your while: where it is, and whether you're free. That's what StallSync matches on. When an organiser plans an event, they search for stallholders within reach of their venue who are available on the day, and invitations land in your Event Inbox. No applications, no rejections.
There's no public list of events to browse on StallSync, and that's a deliberate design decision.

Every StallSync event is tied to a real venue with its details written down: what kind of space it is, what facilities it has, and photos of it. Check for power, water, parking and unloading before you accept an invitation, rather than finding out at eight in the morning on the day.

Know how you're paying before you sign.
Every event states its payment method up front, and it's written into the contract. Most take payment by card through Stripe, the same payment company behind millions of online businesses: your money goes straight to the organiser, and Stripe emails you a receipt. Organisers who handle payments themselves verify their identity first, so you always know who you're paying.

Pay when you sign, or within 7 days if the event is more than 45 days away. You're confirmed the moment the payment goes through, and Stripe emails your receipt.
The refund policy is in the contract
You see the refund terms before you sign, so if plans change you know exactly where you stand.
No fees on top
The pitch fee is the pitch fee. StallSync takes nothing from your bookings.
Verified organisers
Organisers taking payment outside Stripe pass an identity check before they can publish an event. Their verified badge shows before you sign.

Every organiser taking money proves who they are.
There are two routes, and every organiser taking money uses one of them. Organisers who take payment through Stripe are verified when Stripe sets up their account. Organisers who handle payments themselves complete a one-off identity check instead: they photograph their ID, take a selfie, and Stripe confirms it's really them before they can publish an event.
StallSync never sees anyone's ID documents. Stripe holds them, and we record only that the check passed. What you see is the verified badge on the event page, before you sign anything.
